Overview
German International School Chicago (GISC) is seeking a highly organized and detail-oriented professional to join the team as a Finance & HR Coordinator. In this dual role, you will be responsible for managing GISC's financial records and supporting key HR functions. This position requires excellent multitasking skills, a strong commitment to confidentiality, and the ability to balance administrative and financial tasks effectively.
Essential Job Functions Finance Coordinator
- Responsible for recording day-to-day financial transactions and maintaining digital records of all financial transactions, in compliance with school policies as well as local, state and federal requirements.
- Prepare and email student invoices (and credit memos, if necessary) according to the appropriate payment plan as outlined in the enrollment contracts.
- Maintain an accurate student billing list (enrollment, withdrawals, midyear additions etc) and assist with revenue projections.
- Process and track all incoming payments and bank deposits.
- Monitor cash flow, accounts, AR (accounts receivable) and communicate with delinquent account holders.
- Manage relationships with vendors and service providers, ensuring that all items are invoiced and paid on time (accounts payable).
- Prepare month-end closing processes and reconciliations, and monthly financial reports for Board Meetings.
- Assist in school-wide budgetary planning and regular monitoring of departmental budgets and forecasts.
- Work closely with GISC’s Financial Assistance Committee and oversee disbursement of financial aid.
- Participate in annual audits.
- Perform duties as assigned by Head of Admin (HoA) or Head of School (HoS).
Essential Job Functions HR Coordinator
- Assist with recruitment, onboarding, and employee orientation.
- Maintain employee records, payroll data, and employment records.
- Ensure adherence to labor laws and school policies.
- Support payroll processing and benefits administration.
- Address employee inquiries and resolve HR-related issues.
- Perform duties as assigned by HoA or HoS.
Specific Qualifications/Skills
- Bachelor’s degree or equivalent level of degree or experience
- Excellent verbal and written communication skills in English and German (bilingual German-English preferred)
- Ability to handle sensitive information with professionalism and confidentiality
- Strong attention to detail
- Excellent organizational and time management skills as well as ability to prioritize and multitask
- Ability to work both independently and as part of a team
- Dependability, reliability and willingness to pitch in to get things done
- Proficiency in MS Office programs
- Experience with accounting software systems preferred
